Hi there,


I have a questions regarding TFN declarations that are downloaded and provided to the employer from ATO online services.


On your website it advises: "Once the form is complete, employees need to print the employee tax and/or super details summary and give it to you. You then enter the information into your system and keep a copy of the summary for your records."


In our onboarding portal, we are looking at an option where the new employee enters their TFN and super information into the portal and attaches a copy of the PDF downloaded from ATO online services.


Two questions:

Is it a requirement that the employer enters this information into the onboarding system instead of the employee?

If the employee enters the info into the onboarding system, is there a requirement for us to review to make sure it matches the PDF?

No there isn't a requirement that the employer enters the information into their own onboarding system.


We do stipulate that the employee should refer to their employer first if they have their own electronic form. If so, then not to complete the electronic employment form from our website.


I understand there maybe instances where the employee may have already completed our electronic employment form. Then will need to do this again in your own onboarding system.


There isn't a requirement as such to review but there is a risk if you don't such as wrong tax maybe applied. If there is a data discrepancy between our electronic form and your onboarding form.
